    I have an idea

    You will need to know the particular person or department you are trying to contact. Look on the website for the university, and check the department listings. If you are trying to get general information, then try under the department you are looking for, such as "admissions" or "financial aid." If you are looking for information about a particular course of study, then get a name from someone who teaches in that department and ask for information. If the person you contact is not the correct one, he or she will generally direct you to the proper place. And if you are not able to get e-mail addresses from the website, try your school library or the public library. Librarians are incredibly clever at finding stuff which is difficult to locate.

    You are correct, in conversation, Mr. President is reserved for the present and former presidents of the US. However, in a formal meeting, open to the public, Mr. President is used to address or introduce the president of the organization.

    If its the Dean of a university something along the lines of Dean(his surname) then We the students/staff……….. or on behalf of……….

    why is there no street or street number in it? is that what i right on the envelope?

    Pretty much. Most Universities just use the building name and/or department as the address. The post office sends it to the university and the university has its own mail delivery system that delivers it to the building.

    If someone sends an e-mail attachment to a university e-mail address can it be read by anyone?

    Would that attachment always be saved somewhere on the university mail system and be accessed by anyone with the know-how to retrive it? For example, would a university computer technician be able to read the word file sent and all of the personal details within it, either soon after it was sent or maybe months after it was sent?

    Hi, I’ve been using the "Dear Prof. X Y," format so far, but I’ve been told in the department (I’m on the doctoral level) that I shouldn’t use titles like "professor" as the atmosphere is more relaxed. What kind of address should I use instead? I’m not sure a first name is enough, and somehow I feel "Dear X Y," sounds a bit rude. BTW, the professor signs his emails with his full name. Any help would be appreciated!

    Don’t worry, continue addressing him the way you are doing now. It is quite appropriate.

    Showing courtesy to another person is never out of fashion. If he prefers it in another way, let him tell you. It must come from the person not from the department.

    Until then you continue your style. You are doing everything right.

    At least, you are not rude. So you cannot go wrong.
